Club Lockers (Free)

Once your club becomes more established you will likely start to have things that require storage. As a club you have access to lockers to help keep you organized. The lockers are located in the Independent Centre next to the student kitchenette around the corner from the Common Grounds Coffee Shop. To sign out one of these lockers contact our Membership Development Coordinator here or stop by the front desk in the Independent Centre. Keep in mind that space is limited and lockers will be provided on a first come first serve basis.

 

Booking Tables

Booking Tables Indoors (Free)

A good way to recruit new members and advertise your club events or meetings is to set up a table on campus and talk to students. Tables can be booked in virtually every building on campus. To book at table you must go to the ancillary services office on the first floor of the campus activity centre (CAC 152). The contact person for booking tables is Shelley Woodrow she will issue your club a tabling permit once you have booked. When your club sets up on your booked day make sure to bring this permit with you. If you cannot produce a valid permit campus security may ask you to leave.

Locations:

  • 4 Tables in Old Main

  • 3 Tables in the Campus Activity Centre

  • 2 Tables in the International Building

  • 1 Table in the Science Building

  • 1 Table in the Arts and Education Building

  • 1 Table in the Trades Building

Tabling Regulations:

  • Any food or beverage sales from your table must be approved ahead of your tabling date

  • Clubs and student groups are able to book a table for bake sales once in a semester. Clubs cannot sell baked goods with nuts or baked goods which require refrigeration (cheesecake, cakes with whip cream, etc)

  • Clubs and student groups can book tables up to two times a week.

Booking Tables Outside (Free)

To Book a table outside your club must first decide where you would like to set up a table. There are three outdoor areas where tables can be booked:

  1. Campus Green – Outside of Old Main by the Tim Horton's entrance

  2. Campus Commons - Circle area in front of the Campus Activity Centre, Arts and Education, House of Learning, and International Building

  3. Campus Court - Outside in front of the Library, Clock Tower, and Old Main

Once you've decided where you would like to have your table you must get a Common Area Permit from ancillary services located on the first floor of the Campus Activity Centre (CAC 152). The contact person is Kathy Richardson. Once you have a permit you must contact the facilities help desk by phone (250.828.5388) or email (facilites@tru.ca) and ask for utility services to deliver a table and chairs to the location on your permit at the time you have requested. Contact facilities a minimum of one week prior to your booking date.

 

Booking Outdoors Space

Clubs are also able to book space outdoors. Approvals for bookings outdoors are dependent on the activity. The Outdoors spaces that are available for booking are:

  1. Campus Green – Outside of Old Main by the Tim Horton's entrance

  2. Campus Commons - Circle area in front of the Campus Activity Centre, Arts and Education, House of Learning, and International Building

  3. Campus Court - Outside in front of the Library, Clock Tower, and Old Main

If your activity requires tables, chairs, trash bins, or extension chords contact the facilities help desk by phone (250.828.5388) or email (facilities@tru.ca). You will need to provide facilities with the date of your booking and the needs of your activity. Ensure that you contact facilities a minimum of one week prior to your activity. Facilities will deliver and remove the equipment you have requested for the date and time you have booked.

Horticulture Gardens

Clubs can also book the horticulture gardens for events and activities. To book the horticulture gardens contact email Kevin Scollon (kscollon@tru.ca) or Ernest Phillips (ephillips@tru.ca). You will need to provide the name of you club or group, the dates and times you would like to book, and a description of your activity.

If your activity requires equipment such as tables, chairs, trash bins, etc contact the facilities help desk by phone (250.828.5388) or email (facilities@tru.ca) and request the equipment you need. Facilities will deliver and collect the equipment on the date of your activity.

 

Booking Meeting Rooms

Independent Centre/Students' Union Building (Free)

All of the bookable rooms in the Students’ Union Building (SUB) can be booked free of charge. All of these rooms come with built in projectors and audio equipment, just bring a laptop and you can plug in to display your projects, video content, homework, etc. To book a room log on to www.trusu.ca/bookaroom/ there are descriptions of all the rooms available. Once you have decided which room you would like to book click on the Book a Room button at the top of the screen and fill out the online form. You will need to provide your name, email address, group name, and description of your activity, for example you could say quilting club meeting or economics study session. Once you have submitted the form you will receive an email confirming that your request was received. Once your booking is approved you will receive a second confirmation email stating that you have booked the space. When you come to use the room, check in at the front desk and staff will unlock the space for you.

Classrooms and Lecture Theatres (Free)

There are a number of rooms available on campus that can be booked for events and activities. If you are looking for classroom or lecture theatre space you can book a room by going to http://www.tru.ca/forms/admreg/booking.html and filling out the online booking form. After you have completed the form you will be contacted once your room booking has been confirmed. There is no cost associated to booking these rooms for clubs or campus groups. The room will be unlocked by security prior to your booking time so you can just show up and carry out your activity.

 

Event Space (Cost Associated)

If you are looking to book event space there are a few different options that can be booked through ancillary services. These rooms can accommodate food and alcohol. To book any of these spaces contact the events coordinator at (250) 828-5005.

Panorama Room (80 - 150 people)

Cafeteria and Accolades

If you club is looking to host a dinner or event with food you can also book the Culinary Arts Cafeteria or Accolades Dining Room. Cost is dependent on the individual event. To book this space call (250) 828-5354. Keep in mind that the catering is run by an academic program and you must book well in advance of your event. This space is licensed.

Gym and Dance Studio (Free)

Students can book the Campus Gym or Dance Studio for free through campus athletics and recreation. There is more information on the spaces available at http://www.tru.ca/athletics/info/gymservices.html. To book these spaces email jshephard@tru.ca, phone (250) 371-5670, or print off the rental request form found at http://www.tru.ca/__shared/assets/trurental6443.pdf and drop it off at office 110 in the Tournament Capital Centre.

* If your club is looking to book the space outside of regularly staffed times there may be a cost to have staff oversee and secure the space.
